Terms & Conditions for Volunteer Enrollment

Welcome to the HOPE Charitable Trust Volunteer Program. By registering as a volunteer, you agree to comply with the following terms, policies and guidelines.


1. Volunteer Enrollment

  • Volunteer registration must be completed through the official HOPE Volunteer Registration System.
  • All information provided during registration must be accurate, genuine and verifiable.
  • HOPE Charitable Trust reserves the right to verify volunteer information and supporting documents whenever required.
  • Registration approval is subject to administrative review and verification.
  • Only individuals who are 18 years of age or above are permitted to register through the online volunteer enrollment form.
  • Individuals below 18 years of age are not eligible for direct online registration.
  • Applicants below 18 years of age must obtain a valid consent letter from an authorized person or institution, such as:
    • Parent or Legal Guardian
    • School Principal
    • Educational Institution Head
    • Any other authorized authority approved by HOPE
  • Volunteers below 18 years of age must visit the HOPE Charitable Trust office in person along with the required consent documents for registration and approval.
  • Online volunteer enrollment is strictly restricted to applicants aged 18 years and above.
Important Notice:
If you are below 18 years of age, please do not use the online registration form. You must visit the HOPE Charitable Trust office with the necessary consent letter from your parent, guardian, school, or authorized institution to complete the volunteer registration process.

2. Volunteer Participation

  • Volunteers participate on a voluntary basis.
  • No salary, wages or employment benefits will be provided.
  • Volunteers are expected to maintain professionalism and discipline.
  • Volunteers should actively participate in assigned activities.

3. Learning & Training Programs

  • Volunteers may be assigned educational videos and learning modules.
  • Completion of assigned learning activities contributes to credit points.
  • Participation in training programs may earn additional credits.
  • Training performance may affect volunteer grades and recognition.

4. Volunteer Activities

  • Volunteers may participate in HOPE events and service activities.
  • Credits are awarded based on participation and contribution.
  • Special projects may carry bonus credit points.
  • Leadership and initiative may receive additional recognition.

5. HOPE Volunteer Credit System

Volunteers earn credits through learning, training and service activities. These credits determine volunteer grades and eligibility for certificates.

Grade Credit Range Recognition
Beginner 0 – 200 Beginner Certificate
Active Volunteer 200 – 500 Active Certificate
Skilled Volunteer 500 – 800 Skilled Certificate
Leader 800 – 1000 Leader Certificate

6. Certificates

  • Digital certificates will be issued based on achieved grades.
  • Certificates are generated through the volunteer management system.
  • HOPE reserves the right to revoke certificates if misconduct is identified.

8. Volunteer Conduct

  • Respect fellow volunteers, staff and beneficiaries.
  • Maintain ethical behavior at all times.
  • Avoid activities that damage the reputation of HOPE.
  • Follow instructions provided by HOPE coordinators.

9. Privacy Policy

  • Volunteer information will be stored securely.
  • Information will only be used for organizational purposes.
  • HOPE will not sell volunteer data to third parties.
  • Volunteers may receive program-related emails and notifications.

10. Media Consent

Volunteers agree that photographs, videos and activity records captured during HOPE programs may be used for awareness, documentation, reports and promotional purposes.


11. Account Suspension / Termination

HOPE reserves the right to suspend or terminate volunteer accounts for misconduct, fraudulent activities, misuse of the platform, or violation of these terms.


12. Modification of Policies

HOPE Charitable Trust may update these terms and conditions at any time. Updated policies become effective immediately upon publication.


13. Jurisdiction and Dispute Resolution

Any legal dispute, claim, or controversy arising out of or in connection with this volunteer enrollment shall be subject to the exclusive jurisdiction of the competent civil courts having territorial jurisdiction within the limits of Payyanur, Kerala.

By registering as a volunteer, I confirm that:

  • I have read and understood these Terms & Conditions.
  • I agree to comply with HOPE Volunteer policies.
  • I understand the volunteer credit and certification system.
  • I agree to participate responsibly and ethically.
